How to use AI in a small business: where to start

This page is for owners and managers of companies with 10 to 250 people who want to use AI in daily work. Our starting point is one task your team does every week, on the systems you already pay for.

Where to start

Whatever the sector, we start from a task your team repeats every week and only then choose the tools.

Admin and documents
AI drafts proposals and reports from your own templates and enters invoices and forms into the systems you already use. A person checks everything before it goes out.
Customer replies
Enquiries that arrive by email, WhatsApp or the website are sorted and passed to whoever should handle them, with a first reply already drafted in Portuguese, English or Spanish.
Sales and marketing
Follow-ups go out on time and the client list stays in order. For marketing, AI prepares first drafts of posts and newsletters in the company's own voice.
Company knowledge
Anyone on the team can ask about a procedure, a price or a reply already given to a client, and the answer names the document it came from.

Choose the task that comes up most often and takes the team the most time. If you are not sure which one it is, that is what the 30-minute call is for. When there are several candidates, the two-week diagnostic puts them in order in a written plan.

About the diagnostic
An illustrative exampleSupplier invoices into the ERP, every week

Before

  1. Invoices arrive by email
  2. Someone types each one into the ERP by hand
  3. Posted

After

  1. Invoices arrive by email
  2. AI reads each one and fills in the ERP
  3. A person checks and approves
  4. Posted

How a first project runs

Each step ends with something you can check before you decide on the next one.

The call is free and can be by video or phone. You tell us how the work runs in your company today, and before we finish we name the one or two tasks we would start with.
